What we collect, why we collect it and the choices you have.

Last updated 8 October 2026

Your privacy matters to us. This policy explains how the AAINBALL Federation collects, uses and protects personal data when you use the Aainball website, mobile app, events, store, wallet and the Donate a Ball programme. We follow the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.

01What we collect

  • Account details — name, email, mobile number, password (stored encrypted), role (player, member, volunteer, coach, visitor).
  • Profile details — date of birth, age, height, weight, playing position, nationality, country / state / district, institute, social links, photos and banners.
  • Identity documents — where needed for registration (for example an ID proof PDF or Aadhaar number for eligibility checks).
  • Payments — amount, order and payment IDs and status from our payment partner. We never see or store full card or bank details.
  • Activity — matches, points, certificates, event bookings, KKR wallet history, donations and store orders.
  • Device data — IP address, browser, app version and cookies used to keep you signed in and to understand how the site is used.

02How we use it

  • To create and run your account, registrations, rankings and certificates.
  • To process payments, tickets, donations and orders, and send receipts.
  • To show public player, coach, club and federation profiles.
  • To send important messages (password links, confirmations, event updates). Promotional messages only if you agree, and you can opt out at any time.
  • To keep the platform safe, prevent fraud and meet legal duties.

03What is public

Player, coach, committee and executive profiles show your name, photo, role, position, location (country / state / district), points and achievements. Your email, mobile number, date of birth, documents and payment details are never shown publicly.

04Who we share it with

  • Service providers who help us run the platform: payment processing (Razorpay), cloud hosting and storage (Amazon Web Services), email delivery, Google sign-in and maps. They may only use the data to provide their service to us.
  • Federations and clubs you join, so they can manage teams and events.
  • Authorities when the law requires it.

We do not sell your personal data.

05Children’s data

We collect data of children under 18 only with the consent of a parent or legal guardian, and only what is needed for the sport and the Donate a Ball programme. We do not use children’s data for advertising or behavioural tracking. A parent or guardian can ask us to see, correct or delete a child’s data at any time.

06Cookies

We use essential cookies to keep you signed in and remember choices like your language. We may use simple analytics to understand which pages are used. You can block cookies in your browser, but some features (like staying logged in) will stop working.

07Storage and security

Your data is stored on secure servers, with encrypted passwords, HTTPS connections and limited staff access. No system is perfectly secure; if a breach affects you we will tell you and the authorities as the law requires.

08How long we keep it

We keep your data while your account is active. Payment and tax records are kept for the period required by law (usually 8 years). Match results, rankings and certificates may be kept as part of the sport’s historical record. When you close your account, we delete or anonymise the rest within 90 days.

09Your rights

  • See the personal data we hold about you.
  • Correct or update it (most details can be changed from Edit profile).
  • Ask us to delete your account and data, or withdraw a consent you gave.
  • Choose a person to exercise these rights for you if you are unable to.
  • Raise a complaint with us, and then with the Data Protection Board of India if you are not satisfied.

To use any of these rights, email aainballindia@gmail.com. We reply within 30 days.

10Grievance officer

For privacy questions or complaints, contact our Grievance Officer at aainballindia@gmail.com or by post at the address below. We acknowledge complaints within 48 hours and aim to resolve them within 30 days.
